Interview Guides give your hiring team a consistent set of questions to work through during every interview. Every candidate gets a fair shot, and feedback doesn't get lost in someone's head.
Admins set up guides in job settings. Hiring managers use them right inside the Interview details panel when the conversation happens.
⚙️ Setting up a guide (admins)
Guides are configured per interview round, inside the job's Interview setup section.
- When creating or editing a job, head to Interview setup in the left nav.
- Find the round you want to add a guide to and turn on the Interview guide toggle.
- Click Add question, enter the question text, and optionally add a Context note (a hint for the interviewer on what to listen for).
- Repeat for each question. Drag the handle on the left of any card to reorder.
- Save your changes.
✋ Changes to a guide after an interview is already scheduled won't affect that session. The interviewer will see the version that was live when the interview was booked. Edits apply to future interviews only.
🗓️ The Interview details panel
Once an interview is scheduled, hiring managers access the guide from the Interview details side panel. This panel is also your one-stop view for everything about the interview: who's attending, when it is, available time slots, and any notes from the organizer.
At the top of the panel you'll see:
- The interview type, format (in-person, phone, or video), and duration
- The Guests and Organizer for the interview
- Interview hours with your available slots (collapsible). Once a slot is confirmed, this is replaced by the scheduled date and time.
- A message from the organizer, if one was added to the round in job setup.
✅ Using the guide during an interview
The guide appears in the lower section of the Interview details panel. You'll see each question with a hint ("What to listen for") and a 1 to 5 rating scale: Poor, Fair, Good, Very good, Excellent.
Score questions in any order. A live score and progress bar update as you go. Each question also has a note field if you want to capture a specific observation.
When you're done, hit Submit in the panel footer. The scorecard locks and becomes visible to admins.
⚠️ If you start scoring and close the panel without submitting, your progress is saved. You'll see a prompt to pick up where you left off the next time you open the interview.
📋 Recording attendance
After the interview time has passed, you'll see a prompt in the panel: Did the candidate attend? Tap Attended or Did not attend. You can change this later if needed.
If the candidate didn't attend, the guide is replaced with a simple Note field. No scoring required.
👀 Reviewing feedback (admins and hiring managers)
Submitted scorecards show up in the Answers tab of the candidate's application, below the screening Q&A. Each interview round appears as an accordion you can expand.
When a round is submitted, you'll see the overall score, the interviewer's feedback, and how they rated each question. If multiple people interviewed the candidate in the same round, there's a tab for each interviewer so you can review everyone's input side by side.
The accordion header also shows the round's current status at a glance: Submitted, Not submitted, Scheduled, or Upcoming.
⚠️ No guide set up yet?
If a guide hasn't been configured for a round, the panel will say so and include a Set up interview guide link to take you straight to the round settings. Only admins can configure guides.
