Create, manage, and send branded offer letters directly from your Hiring Hub. With customizable templates, you can tailor your offers by role, location, or employment type—without relying on manual setup.
📄 Managing your offer letter templates
To get started, head to your Settings and open the Offer Letter Templates section. This is your central library for creating, editing, and organizing all of your offer letters.
From here, you can build multiple versions of your offers (for example: full-time vs. part-time, hourly vs. salaried) or search for existing templates. You can also duplicate an existing template to quickly create a new version without starting from scratch.
✏️ Creating a template
When creating a new template, you’ll be able to fully customize the content, branding, and where the template is used—all in one place.
Start by adding a template name, then upload your company logo or letterhead to give your offer a polished, branded look. Use the text editor to write your offer and format it as needed, and insert dynamic fields—like candidate name, job title, start date, or compensation—so each letter is automatically personalized.
For the best visual results, we recommend the following image sizes:
- Logo: Square or wide format (1:1 or 2:1 ratio)
Recommended size: 400 × 400 px or 600 × 300 px - Letterhead: Wide banner format (3:1 ratio)
Recommended size: 1200 × 400 px
Next, choose where this template should be used. You can assign it to specific roles, locations, or make it available across your entire organization. This helps ensure your team only sees relevant templates when preparing an offer. You can also mark a template as the default for a role so it’s preselected during the hiring process.
As you build your template, you’ll see a live preview with real data filled in—making it easy to check formatting, branding, and content before saving.

👀 Previewing and sending an offer
When you’re ready to send an offer, select a template during the hiring process. The system will automatically populate it with the candidate’s information so you can review it before sending.
You’ll have a chance to make final, one-time edits to the letter—perfect for small adjustments or personalized notes. These edits won’t change your saved template.
Once everything looks right, send the offer for the candidate to review and sign.

Creating a few core templates up front can save time later. Most teams set up separate versions based on employment type or seniority, then update them as needed over time.
Because the templates are fully self-serve, you can make updates anytime—whether it’s a branding refresh, compensation change, or policy update—without needing additional support.
