Two-Way Messaging allows you to communicate directly with candidates inside the Hiring Hub, within each individual application. Conversations are shared across your hiring team, keeping communication centralized and visible in one place.
💬 Accessing messages
To view or send messages, open an application from your Applications view and click the message icon. This opens the conversation drawer, where you can see the full message history, send a reply, attach a file, or lock the conversation if needed.
Any manager with job access (or fallback location access) can view and participate in the same conversation thread.
✉️ Sending a message
You can send a text-based message at any time and include one optional attachment up to 10 MB. Attachments are automatically scanned for security before being delivered.
If you need to reach multiple candidates, you can send a bulk message to up to 10 candidates at once. Each message is sent individually, and templates can be used to save time. Templates can also be edited before sending.
📝 Editing or deleting messages
After sending a message, you have a 5-minute window to edit or delete it. Candidates have the same ability. Once that window passes, messages can no longer be changed. If a message is deleted, it will appear as “Message deleted” in the conversation.
🔔 Notifications
To reduce unnecessary alerts, notifications are sent five minutes after a message is posted. This allows time for edits or deletions before notifications go out. Additionally, notifications won’t resend if one has already been sent within the last 60 minutes.
You’ll receive an email when a candidate replies, as long as you’ve previously participated in the conversation. Candidates receive email and/or SMS notifications when you message them.
🔢 Unread messages
Unread message counts appear in both the Applications list and on the Application details page. Counts are capped at 9+. Opening the conversation marks messages as read for your team.
🔒 Lock a conversation
You can lock a conversation at any time to prevent additional candidate replies. Message history remains visible even when locked. Conversations automatically lock after 7 days of inactivity, but you can reopen them if needed.
🔐 Candidate access
Candidates receive a secure link to view and respond to messages, and no login is required. Links expire after seven days, and only one active link exists per application at a time. If a new link is requested, any previous link is immediately invalidated.
