Setting up your onboarding documents

Paperwork – it's part of any onboarding process. But with HigherMe's Paperless Onboarding feature, completing and reviewing documents is quick and easy, saving your employee crucial time on their first day!

Based on your settings, your new hire will be issued a set of documents to complete during their onboarding flow. They can fill these out digitally right on HigherMe. Once they've completed their part, you'll be able to review the documents and sign if needed. All in just a couple clicks before their first day of work! You can also download completed forms to print off for your records if you prefer.

📑  What documents does HigherMe provide by default?
HigherMe equips all of your new hires with a set of standard onboarding documents:
🇺🇸  US companies: The federal I-9, Employment Eligibility Verification The federal W-4, Employee's Withholding Certificate Your state tax withholding form, if applicable	🇨🇦  Canadian companies: The federal TD1, Personal Tax Credits Return Your province's TD1 (or TP-1015.3 for Québec)

✍️  Can I add a custom onboarding document?

We encourage you to set up additional onboarding documents such as company policies, employee handbooks, or any other forms you may need your new hires to read and/or sign.

First, you submit a blank document to us (along with a couple details). Next, we configure that doc into an interactive form that your new hires can fill out right here on HigherMe! We'll send you a confirmation email when your doc is ready and from that point on, it will be issued to your new hires during onboarding.

✨  How do I upload a document?

To add a new document or request a document update, click on the Add/Modify document button at the top of your Onboarding page. You'll be asked a few quick questions:

1. Modify current document: Are you requesting to modify/update an existing document?
2. Which company does this document belong to? Type in the name of your company as it appears on HigherMe.
3. What is the title of this document? e.g., "Team Member Handbook 2025"
4. Upload a document: Here you can upload a PDF of your new or updated document.
5. Will both parties sign the document? Check here if you want both the employee and the employer (yourself or another manager on your team) to sign the document. Leave blank if only the employee needs to sign.
6. Additional notes: Let us know if you have any additional set-up instructions, or if you want to restrict this document to new hires in a specific state, store location, or role. (For example, "This document is for our Delivery Driver position only.") By default, your custom document will go out to all new hires at your company.

Click Submit to send your request to our team! We will begin configuring your document shortly and will send you a confirmation email when it is ready.

💲  How much does it cost to add/update a document?

There's no extra cost! Our set of standard documents as well as your custom document uploads are now included with your onboarding subscription.

⚠️  My document is too large to upload

Not to worry! You can shrink your PDF using a free tool like this. You can also combine multiple forms into a single PDF with this free tool.
